The documents and e-Forms to be filed under MCA21 have been listed on the portals with description and help on each of them. These forms have also been categorized according to applicability of the Act.  This article will help you understand the E-filing process and how to make the best of the online E-filing process introduced by the MCA.

There are three steps involved in filing the e-form

  1. Download and filling the e-form
  2. Validate the filled e-form
  3. Upload the e-form and payment

Download and filling the e-form

As a first step, one has to download the respective or required e-Form from the MCA portal. The forms filled with relevant data can be saved and kept for validation. An instruction kit is available for filling the e-form and one can fill those as per the guidelines given.

The online e-Forms have an option called Pre-fill Buttons, which can be used to retrieve data from the MCA21 database which are already available with the database. This facility can only be availed when the data is being filled online. Without internet, Pre-fill will not work. Generally retrieved data from Pre-fill are Company’s Name, address, Details of directors.

Validating e-form

Further to the filing of the e-form use Check Form button available in the e-Form to check the information and the system will check the mandatory fields, mandatory attachment(s) and digital signature(s).

The applicant or a representative of the applicant needs to sign the document using a digital signature. Then the e-Form should be kept for pre-scrutiny. The system will verify the documents. In case of any inadequacies, the user will be asked to rectify the mistakes before getting the document ready for execution (signature).

Upload the e-form and payment

Further to the validation, the e-form to be uploaded in the website. The system will calculate the fee and the same have to be made through credit/debit cards or Internet banking. The payment will be exclusively confirmed in all online payment. MCA21 will provide a unique transaction number, the Service Request Number (SRN) which can be used by the applicant for enquiring the status pertaining to that transaction. The applicants will be provided an acknowledgement through e-mail or alternatively they can check the MCA portal.

Prerequisite Software for e-Filing

For enabling online filing, the Computer from where the services are availing must meet the following minimal requirements:

  • Windows 2000 or later
  • JRE (Java Runtime Environment) installed
  • JDK1.6u30 and above
  • Internet Explorer v9.0 and above or Firefox 24.0 or above/ Chrome Version 33 or above
  • Adobe Reader from Version XI
  • Scanner for scanning paper attachments
  • Printer for printing bank challan or service fee payment receipt
  • Pop-ups from MCA21 Portal must be enabled in your browser

Missing of any one of the above will make you face issues in downloading a form, signing the eform or uploading the eform. Always check the particulars filled in the e-form before filing. Once an e-form is approved, any wrong information given in the e-form cannot be rectified.
